Withdrawal Policy
Purpose
This policy defines the processes and implications of withdrawing from courses or from Freedom College of Excellence (FCoE). It ensures clarity regarding academic standing, financial obligations, and federal aid eligibility.
1. Official Withdrawal Process
An Official Withdrawal occurs when a student provides formal notification to the Registrar’s Office of their intent to withdraw. The withdrawal date is defined as the date the student initiates the process.
- Students must complete the Official Withdrawal Form available in the Student Portal.
- A student who withdraws before the census date will have the courses removed from their transcript.
- A student who withdraws after the census date but before the "last day to withdraw" will receive a grade of 'W' (Withdrawal).
2. Unofficial Withdrawal
An Unofficial Withdrawal occurs when a student ceases attendance in all courses for a period of 14 consecutive calendar days without providing official notification.
- The college will determine the withdrawal date based on the last date of academic activity.
- Unofficial withdrawals may result in a grade of 'WF' (Withdrawal-Failing) or 'F', which impacts the student’s cumulative GPA.
3. Financial Implications
Withdrawal from the college does not relieve the student of financial obligations. Tuition adjustments are governed by the Refund and Adjustment Policy.
Students using federal financial aid (Title IV) who withdraw before completing 60% of the term are subject to a Return of Title IV Funds (R2T4) calculation. This may result in the student owing a balance to the college or the U.S. Department of Education.
4. Academic Standing
Multiple withdrawals may impact a student's Satisfactory Academic Progress (SAP). Withdrawn courses count as "attempted hours" but not "earned hours," which can affect future financial aid eligibility.
5. Administrative Withdrawal
FCoE reserves the right to administratively withdraw a student for reasons including, but not limited to:
- Failure to comply with immunization or health requirements.
- Violation of the Student Code of Conduct.
- Non-payment of tuition and fees.
